CHIEF OBJECTIVES OF THIS POSITION

The Project Manager’s core responsibilities include all tasks accountable for the successful execution of their project scope. This includes, but is not limited to, participating in client intake calls as a subject matter expert, spearheading communication between internal and external stakeholders, partnering to design and price project proposals, attending site visits, building and managing on-site teams, and maintaining profit & loss reporting by project. Keys to success include maintaining a positive attitude that promotes teamwork within the Company and creates a favorable image of the Company for clients. While the pace of the work is faster than average, quality is never compromised. The Project Manager may work remotely, from the Wizard Studios office, or on client sites, depending on the needs of the day.

We are currently seeking to fill this position on a freelance/contract basis for the fall-winter season, with an opportunity to continue for the right candidate(s).

Reports to: Director of Production - Creative Services

CREATIVES SERVICES PRODUCTION:

  • Provide an exemplary experience for our customers, vendors, and all stakeholders.

  • Manage a project on behalf of the Company, with an emphasis on clear communication across cross-functional teams, efficiency, and profitability.

  • Attend site visits with customers to develop floor plans and finalize build details.

  • Maximize the profitability of each project without sacrificing the primary goal of delivering a World-Class customer experience.

  • Develop winning Projects that align with the client’s objectives and creative vision.

  • Create comprehensive quotes that reflect the outcomes narrative.

  • Partner with Members of all departments as Cross-functional Teams to meet and exceed our clients’ expectations.

REPORTING:

  • Ensure each project has secured a signed quote or contract, been properly invoiced, and paid per the approved payment terms.

  • Ensure all expenses related to each job are accurately reported and correctly reconciled promptly.

  • Ensure all builds and deliverables are on time and within budget

  • Inform your supervisor of potential problems or opportunities to improve the project.

  • Provide communication with fast response times to the client and other stakeholders.

JOB CHARACTERISTICS:

JOB QUALIFICATIONS:

  • Bachelor’s degree (or equivalent experience)

  • 4+ years of relevant experience in event planning and account management.

  • Minimum 1 year in scenic, woodwork, metalwork, or prop shop experience.

  • Expert-level written and verbal communication skills

  • Polished, professional demeanor; projects confidence and enthusiasm for the business

  • Proven success in a client-facing capacity

  • Demonstrated history of establishing and maintaining effective working relationships across a diverse cross-functional team

  • Must be proactive with the ability to work both independently and with multiple teams

  • Organized with the ability to prioritize and manage time efficiently with close attention to detail

  • Ability to work on strict deadlines and in high-pressure situations

  • Preference is given to candidates with a demonstrated knowledge of Scenic Carpentry, Scenic Painting, Printing, and Metalwork, as it relates to the production of elements for an event.

  • A working knowledge of:

    • Google Office Suite

    • Asana (bonus) or similar project management software

    • Flex Rental Solutions (bonus)

CHIEF OBJECTIVES OF THIS POSITION

The Print Coordinator is a detail-oriented production professional responsible for managing the full lifecycle of print materials at Wizard Studios — from initial spec and vendor sourcing through delivery and on-site installation. This role serves both the event production and marketing functions, ensuring that all branded, scenic, and collateral print deliverables meet Wizard’s quality standards, are delivered on time, and stay within budget. The Print Coordinator is a critical liaison between internal creative teams, project managers, and external print vendors.

Reports to: Director of Production - Creative Services

KEY RESPONSIBILITIES:

  • Manage multiple concurrent print projects across different event timelines and internal deadlines

  • Maintain organized file management systems for artwork, proofs, and approvals

  • Issue and track print specifications, proof approvals, and change orders with internal stakeholders

  • Support post-event recaps with print cost actuals and vendor performance notes for future reference

EVENT PRINT PRODUCTION:

  • Manage end-to-end print production for live events including signage, banners, step-and-repeats, directional graphics, scenic prints, and custom fabrication elements

  • Translate creative files and design specs into production-ready print orders; confirm bleed, resolution, color profiles (CMYK/PMS), and substrate requirements

  • Coordinate with scenic and AV teams to ensure print elements integrate correctly with staging, rigging, and lighting plans

  • Maintain event-specific print schedules and flag risks to the Project Manager proactively

  • Occasionally oversee on-site delivery, installation coordination, and strike/removal of all print materials

MARKETING & COLLATERAL PRINT:

  • Manage production of marketing collateral including sales decks, capabilities brochures, proposals, branded stationery, and promotional materials

  • Maintain brand consistency across all printed materials; enforce brand standards in coordination with marketing leadership

  • Track inventory of collateral materials and reorder proactively to avoid shortfalls

  • Support new business pitches and client presentations with print deliverables as needed

JOB CHARACTERISTICS:

  • Proficiency reading and preparing production-ready files (Adobe Creative Suite preferred)

Our Scenic Fabricator will maintain a positive attitude that promotes teamwork within the Company and a

vignettes, props, objects of art, and environments that enhance the quality of work for which we are

GENERAL RESPONSIBILITIES:

  • Work in a fast-paced environment while managing specialized work efficiently, confidently, and competently.
  • Maintain high standards for high-quality work.
  • Complete work outlined in the created Production Schedules and Fabrication Decks tailored to each unique project.
  • Work under the supervision of Build Leads to ensure all builds are true to the design, installed efficiently, and meet safety requirements.

Other Duties:

  • In-shop and on-site fabrication, installation, or breakdown work required.
  • Specialized skills may include, but are not limited to, carpentry, scenic or mural painting, finishing work, etc.
  • Ability to create and contribute to a structured, organized, and efficient workplace environment.
  • Accountability for great results in high-pressure situations
  • Ability to focus on the big picture and quickly make well-thought-out, well-analyzed decisions.
